Role/Function: The Client Solutions Administrator has primary responsibility for supporting the Client Solutions Sales Team in all facets of administrative tasks

Primary Responsibilities

  • Preparation of monthly expense ensuring accurate coding and timely submission/approvals
  • Preparation and reconciliation of all event related purchase orders
  • Preparation of event summaries as needed for large scale event and tours
  • Responsible for completion of the monthly PO report
  • Responsible for completion of the month end PO accrual report
  • Responsible for the monthly AMEX  statements reconciliation reports
  • Assist in the preparation of all event documentation – printing and collating as required
  • Assist in the preparation/completion of RFP’s including printing and collating as required
  • Prepare all proposals, orders, and show information for assigned customers
  • Source event related equipment/materials as needed
  • Source and book hotel accommodation as needed
  • Assist with in house meetings as needed – coffee/food etc.

General

  • Meet personal performance goals established at the beginning of the fiscal year.
  • Maintain good communication with the branch departments
  • Any other work necessary for the proper functioning of the company at the request of General Manager.

Education and experience:

  • Bilingual would be an asset
  • 3-5 years of relevant experience
  • Excellent time management and organizational skills
  • Experienced communicator and proactive problem solver
  • Ability to multi task and work in a fast paced environment
  • Master MS Office Suite.
  • Achievements in event management (asset but not mandatory)
  • Knowledge in the field of audio visual or technology from a related environment: Hotels, Production, etc.  (asset)
