At the Department of Transportation and Infrastructure Renewal (TIR), we support Nova Scotia’s 2400 buildings and infrastructure assets. Our Major Infrastructure Projects team leads large government building projects from early planning, design, and construction; such as the QEII New Generation Project, the Cape Breton Health Care Project, and other major multi-stakeholder projects.

About Our Opportunity

As the Administrative Assistant, you provide support to the Executive Director, Director, Manager and staff of the Major Infrastructure Projects team. You are responsible for a variety of clerical and organizational tasks necessary to keep our team and major projects running efficiently. You ensure a high degree of confidentiality in all you do, given the sensitivity of the information dealt with daily.

You directly contribute to the success of our major projects by:

  • ensuring calendars, meetings, and travel are effectively organized and scheduled;
  • preparing and prioritizing various correspondence and invoices for payment;
  • using sound procurement procedures to ensure efficient office purchases;
  • evaluating and refining office procedures to improve efficiency and quality of work

You will prepare tender requisitions, award Consultant and Construction Contract packages, and assist in preparing and distributing change orders and change directives.

This position provides excellent opportunity to develop and enhance your skills as you work closely with various contacts within TIR, other Provincial Government Departments and Agencies, along with contractors, consultants, architects, engineers, and suppliers.

About You

A one (1) year office administration course and three (3) years related experience is required; an equivalent combination of training and experience will be considered.

You must possess excellent computer skills and demonstrated proficiency in a variety of computer applications, including Microsoft Suite.

Experience with SAP, Ariba and Adobe would be considered assets. Familiarity with government procurement practices, construction contracts, and terminology used in an Architectural/ Engineering environment are further assets to be considered.

Consistently, you maintain a professional and courteous disposition and hold a high standard for client and customer service. Professional communication skills, both oral and written, are critical in this role. You are detail oriented and possess excellent organizational skills; ensuring efficient operation of our team and producing work with a high degree of accuracy. You effectively prioritize, take initiative, and work well independently. You are a team player who promotes and builds team continuity and cohesiveness.

We will assess the above qualifications and competencies using one or more of the following tools: written examination, standardized tests, oral presentations, interview(s), and reference checks.

Pay Grade:  CL 18 

Salary Range:  $1,510.00 - $1,689.00 Bi-Weekly

This is a bargaining unit position initially restricted to current civil service employees represented by the Nova Scotia Government Employees Union (NSGEU).
