You will be required to assist the General Manager as a first point of contact for: correspondence and phone calls; managing and organizing meetings and appointments; planning and organizing events; booking and arranging travel; transport; accommodation; preparing business reports; taking action points and writing minutes; managing calendars/diaries; preparing customer presentations and correspondence; managing databases and filing systems; preparing correspondence to staff, suppliers and clients.

Duties and Responsibilities
  • Attending conferences as an assistant to the GM
  • Taking minutes at management and other critical meetings
  • Coordinating travel and accommodation bookings including visa applications
  • Planning, organizing and managing events
  • Arranging refreshments & lunches/refreshments for visitors
  • Updating of Notice Boards, with all relevant information
  • Answering calls and liaising with clients competently
  • Preliminary drafting of correspondence on behalf of the GM
  • Delegating work in the GM’s absence
  • Calendar and diary management and organizing of travel
  • Planning and organizing meetings
  • Taking of action points and writing minutes
  • Preparing papers for meetings and taking dictation
  • Conducting research and preparing presentations
  • Managing and reviewing filing and office systems
  • Typing documents, sourcing and ordering stationery and office equipment
Required Skills and Experience (max 5-6)
  • Extensive experience at executive management assistant level
  • Business Administration degree (or studying towards a Public Relations or Business Administration degree) is an advantage.
  • Expert knowledge of MS Word, Excel and PowerPoint.
  • Extensive knowledge of travel and meeting/conference arrangements
  • Advanced-level skills in MS Word, Excel and PowerPoint.
  • Ability to remain calm under pressure and capable of thinking on their feet in a crisis.
  • Capable of competently dealing with situations in the absence of the GM and be confident enough to delegate upwards.
  • Have excellent verbal and written communication skills.
  • Ability to draft written communication on behalf of the GM.
  • Shows a high level of IT literacy and the ability to trouble-shoot technical problems.
