We are seeking an enthusiastic commercial administration officer to undertake all aspects of quoting (both residential and commercial) as well as preparing of commercial valuation files in accordance with procedures. You will need to be well presented and communicate professionally with internal and external clients. You will be reporting primarily to the Commercial Team Leader and secondary to the National Operations Manager.

Clients are the core of our business, therefore we require someone who strives to put client’s needs first.

What this job involves

  • Demonstrated time management skills, with proven ability to deliver results within deadline.
  • High computer literacy skills, including the ability to effectively use ( or the ability to quickly learn to use) but not limited to:
  • Microsoft office programs (Word, Outlook, Excel)
  • TOTOM system
  • Client onlines systems (VMS, Valuation Exchange)
  • Industrial Programs (Pricefinder, Landgate, SAI Global, Global X)
  • Accuracy and Attention to detail is a must in this field of administration.
  • Answering inbound commercial phone calls and directing them to the appropriate person.
  • Willing to assist other departments in peak periods.
  • Accurately entering job requests into TOTOM in a timely manner.
  • Ensuring correct work processes are followed.
  • Monitor and complete commercial and residential quoting for JLL Group.
  • Complete commercial file prepping in accordance with processes.
  • Demonstrated customer service skills, with the ability to communicate effectively with a diverse range of internal and external clients.

  • Demonstrated Knowledge of office work processes and experience in following these.
  • Knowledge of professional standards and expectations in an office environment.
  • Practical knowledge of customer service standards and experience in a service driven environment.
  • Knowledge of and prior experience in meeting client SLAs and individual and team KPI’S.
  • Experience working both autonomously and as part of a team.
  • Proven experience and strategies to deal with challenges associated with KPI’S and dealing with factors and scenarios outside of own control.
  • Experience in successfully working within a busy “open plan” office environment, and ability to continue to focus on work despite interruptions.
