The Front of House Administrator is a key role for the Oxford EU/ROW Commercial Headquarters of Jazz Pharmaceuticals.The role manages our state of the art front of house and meeting room areas, and is a true ambassador and point of references for all local and international business engagement.

Essential Functions

  • Manage the organisation's front of house and meeting rooms

  • Welcome visitors and internal Jazz employees

  • Operate switchboard in a professional manner -answer, screen and direct calls to appropriate location

  • Sort and distribute all incoming post and mange outgoing post

  • Manage and record all incoming and outgoing Courier activity

  • Order and maintain stationery and catering supplies

  • Maintain and manage the Meeting Room System

  • Assist with the coordination of any international visits or visitors, including room or desk allocation

  • Manage any catering requirements for the site and support facilitation of Jazz on-site events

  • Assist with facilities coordination incl. periodic interface with external vendors

  • General administration support for the various departments within the Company

  • Provide support for Ad Hoc projects when required

Required Knowledge,Skills, and Abilities

  • Demonstrated previous experience or similar role

  • Proven communication and excellent interpersonal skills

  • Ability to deal with all levels of staff and external contacts

  • Excellent organisational and prioritising skills

  • Experience in the administration and management of meeting rooms and catering requirements

  • General administration experience

  • Strong computer skills including knowledge of Microsoft Office including Word,Excel and PowerPoint and keyboard skills

  • Flexibility and ability to work on own initiative
  • Excellent attention to detail and high levels of accuracy and accountability
