Job Description

 

REPORT TO 

• Director ITO CM Business Management & Governance 

MISSION AND OBJECTIVES

Responsible for administration of Clarity Project Performance management (PPM) tool and monthly invoice processing of IT related expenses.

Clarity support:

• Responsible for all Clarity subjects, acting as the subject matter expert

- Collaborate with Central Project Office to create Business Objects reports for Project Managers

- Enforce the data quality of the tool + KPIs for monitoring

- Create training presentation to inform employees across a varying range of seniority of their Clarity responsibilities, project management techniques

- Analyze and report current status of project data quality

- Review the data and provide meaningful analysis to management

- Maintenance of the referential and reconciliations between various systems

• Develop strong relationship with ITO clients and partners to maintain permanent alignment of the data when preparing and building ITO budgets

• Act as trusted advisor to IT department managers through effective communication and providing quality data, consistent reports, and ad hoc services

• Provide demonstrative initiative, flexibility and efficiency with a high degree of professionalism and confidentiality

IT invoicing:

• Prepare month end accruals for unpaid invoices with necessary supporting documentation

• Maintain vendor relationships including

- Invoice payment status

- Requesting missing payment information

- Third party relationship management office needs (W-9 documentation, address and name changes)

• Process invoices with proper general ledger (G/L) accounts, cost centers and project codes

• Review Financial data from SAP to identify unpaid invoices and assure amortization of prepaids

• Support IT managers in determining Forecast/Budget figures

 
  ESSENTIAL SPECIFIC REQUIREMENTS AND BEHAVIOURS

• Accounting or Finance undergraduate degree

• Good knowledge of complex projects and costs allocations mechanisms.

• Highly self-motivated, disciplined and able to resolve issues with a “hands on”, proactive and innovative approach even when options appear to be limited.

• Good coordination skills including ability to execute issues in a timely manner

• Team player with strong organizational and planning skills.

• Ability to prioritize, multi-task and collaborate across multiple simultaneous projects and teams.

• PC skills including MS Office Suite, Business Objects, (SAP and Clarity are a plus).

• Excellent verbal and written communication skills.

• Experience in Data Management is a plus

• Clarity skills (including time entry, troubleshooting and creation of projects, resources, headcount and OBS) or proven ability to learn quickly.

• Experience with at least one of the following technologies is preferred but not a requirement: SharePoint, SQL or scripting
