Who you are

The Operations & Support Associate is an on-site role, at our Zurich, Switzerland Centre of Excellence, and will be responsible for supporting both the Europe Sales Team as well as the Zurich office location, to succeed by executing all required support processes. In this role you will need to work proactively, efficiently and reliably to ensure that you inspire confidence from your internal and external customers at all levels.

In the role of Operations & Support Associate you will wear many hats though your talents will be crucial in the following areas:


  • Negotiate / Support negotiation of lucrative contracts with relevant suppliers and partners, establishing and upholding strong relationships with all of their key contacts.
  • Maintain an organised, tidy, and clean office environment that’s equipped with the necessary supplies and technology, ensuring efficient allocation of budget.
  • Manage the inventory.
  • Be responsible for managing all inbound and outbound courier and postage needs.
  • Ensure compliance with all Health & Safety and Security policies.
  • Be responsible for the coordination, negotiation and execution of all local, internal conferences and social events.
  • Support the Department Heads with sales reporting requirements, recruitment, onboarding and offboarding.
  • Champion all Internal Health and Wellbeing Initiatives, including the management of our healthy nutritional budget.
  • Support VP’s overseas Finance Team with localised credit control.
  • Support VP’s overseas IT Team to monitor VP’s technology assets.
  • Document the minutes of Senior Management and Regional Team meetings and circulate them within specified, short timescales.
  • Manage all technicalities relating to video/tele conferencing to facilitate global meetings/webinars.
  • Role model a commitment to remaining completely up to date with all internal processes and policies.
  • Ensure all databases are accurate and up to date.

Sales & Client Success Support

  • Support the Sales Team with their travel requirements and any ad hoc administrative support they require.
  • Support the Sales Team in different aspects like the built of custom presentations, putting together lead lists, etc.
  • Support the Client Success Team with client-specific support such as the development of marketing and communication materials.
  • In order to be successful in this aspect of the role, the Operations & Support Associate must ensure to achieve and maintain a good level of knowledge about the Corporate Health & Wellbeing industry.


  • Support the International Marketing Team to increase brand visibility and maintain a strong pipeline of sales opportunities through local marketing activity:
    • Conference and exhibitions
    • Networking events
    • PR coverage
    • CRM usage
    • Social media campaigns
  • Maintain a solid understanding of Virgin Pulse branding guidelines to ensure that all locally produced collateral complies.
