Contracts Administrator- Dawson Mine

The primary purpose of this position is to assist the Contracts Coordinator to provide timely and relevant advice to ensure employees are conversant with the latest contracting and procurement processes and to assist with the contract management process from initiation to close out.

The position assists with the link between Contracts Team peers, Supply Managers and Specialists, Site Customers, Operations and Contractors to manage and coordinate contractor performance; resolve performance issues and work with all parties to improve overall contractor performance.

Key accountabilities will include but not limited to:

  • Under the direction of the Contracts Coordinator, provide consistent and high-quality support to end user departments through the provision of advice, direction and assistance with requests and issues relating to procurement, purchasing and contract management activities and consulting and/or referring requests to Group Supply Chain when appropriate
  • Assist with the end to end procurement process, ensuring all documentation is prepared, tracked and progressed through established processes
  • Assist with the coordination of the evaluation of tender responses
  • Ensure timely and accurate documentation is created for variations to purchase orders and contracts
  • Undertake effective contract administration including developing and maintaining systems for recording and reporting on open contracts and purchase orders, document management, coordinate and minute meetings, write reports and other administrative duties as required.
  • Assist with the review of technical and commercial scopes for compliance against Anglo American’s general conditions of contract
  • Support cost control activities by ensuring contractor invoices are reconciled to timesheets, equipment work sheets, and invoices match contract rates and assist with the timely authorisation of invoices to improve payment turnaround times
  • Undertake market analysis, procurement planning, compliance auditing and provide support for contract and supplier relationship management
  • Maintain audit files, track authorisations and correspondence for all contracts
  • Ensure compliance with Anglo American policies and procedures and Code of Conduct.
