WSP is currently initiating a search for a Document Control Specialist to work on a Puerto Rico Debris Project/Solidaridad PPDR ReStart project in San Juan, Puerto Rico.  This position is anticipated to last for 6-8 months, or until project ends.
Duties and Responsibilities:
  • Collection, review and filing of all documents related to homeowner PPDR applications, site assessment eligibility packets, SJV daily activity logs and other required project documentation. Ensure that proper documents are created, signed, and uploaded into TDMS, DRS and FEMA Grants Portal, that all data is accurate and complete, and that documents are stored and backed up and any retention policies are followed. Perform the following daily tasks:
  • QA/QC all homeowner application packets to ensure ROE and associated documents are complete and accurate.
  • QA/QC all Branch daily activity logs and reconcile against timekeeping system to ensure audit ready documentation for invoice submittal.
  • Request signed imminent threat verification forms from Estimates and Contracts Coordinators.
  • Prepare final eligibility packet and upload to DRS and FEMA Grants Portal.
  • Provide weekly assessment schedule to COR3 and FEMA.
  • Update and provide Daily Report to PMO for distribution to AFI/COR3/FEMA.
  • Prepare specialized reports as requested by AFI/COR3/FEMA.

Minimum Qualifications:
  • HS Diploma or GED
  • 0-2 years office experience
  • Strong organizational skills
  • Strong English and Spanish verbal and written communication skills
  • Exercise responsible and ethical decision-making regarding company funds, resources and conduct and adhere to WSP’s Code of Conduct and related policies and procedures
  • Proven track record of upholding workplace safety and ability to abide by WSP’s health, safety and drug/alcohol and harassment policies
Preferred Qualifications:
  • Prior experience with FEMA projects
