About The Role

At Cainthus, we work together on multi-disciplinary teams to develop a state of the art product with computer vision and data science at its core. This is a maternity contract role where you will be required to apply your creativity and experience in supporting the company CEO and other executives as needed. This position is ideal for you if you love to get things done, you are dynamic, intelligent, and highly organized with the ability to take ownership over the details.

In this role, your day will consist of managing and prioritizing a steady stream of requests, meetings, and trips, and anticipating how these priorities need to be handled. To succeed, you’ll have to balance the needs and requirements of multiple parties and be ready to pitch-in wherever necessary. You should feel comfortable interacting with high-level executives and know-how and when to manage up. You should have an understanding of using Google Apps for business in addition to Microsoft Office Suite. You should thrive in a fast-paced environment and deal with ambiguity without getting frazzled.

We are looking for a professional, capable, and motivated Executive Assistant to provide proactive support. We are looking for someone who enjoys being busy, is flexible, has plenty of initiative, is confident, high energy, and can 'hit the ground running’. 


What you’ll do

  • Manage, coordinate, and arrange travel and travel-related activities, including hotel booking and transportation. Be ready to handle last-minute changes and proactively identify conflicts;
  • Coordinate complex scheduling and extensive calendar management. Actively manage CEO’s calendars and daily schedule meticulously and thoughtfully, coordinating all meetings and calls both domestically and internationally including managing agendas, mail, email, calls, contacts database, and other company logistics, fielding and prioritising requests;
  • Handle emails and communications and connect with both internal and external parties with a high level of professionalism and diplomacy;
  • Research and format information for internal and external communication memos, emails, presentations, reports, blogs, etc.;
  • Coordinate events both internally and off-site including sourcing space and various day of logistics;
  • Perform administrative and office support, such as typing, dictation, spreadsheet creation, and maintenance of filing system and contact database;
  • Deal with very sensitive employee or company information in a discreet and confidential manner;
  • Create and submit expense reports;
  • Assist with special assignments/projects, as needed;
  • Perform any other ad hoc duties as required. 


What we’re looking for

Required Skills

  • 5+ years’ experience supporting C-level executives, or other relevant experience working directly with executives;
  • Open to working the flexible hours demanded by this position;
  • Highly organized and detail-oriented with complex calendar management experience;
  • Experience booking high volume international travel;
  • Ability to work autonomously with little direction and make decisions as needed;
  • Proficiency with Google Apps (Gmail, Google Docs, Google Calendar), Microsoft Office, and video conferencing tools;
  • Able to handle highly sensitive and confidential material;
  • First-class verbal and written communication skills.
