Job Description


The Executive Assistant ensures the efficient and effective functioning of the CEO's office and assists other members of the leadership team.
The Company


My client is a non-for-profit organisation that provides counselling and support services to refugee survivors that have been subject to torture and trauma before arriving to Australia. As well as providing counselling and support services to survivors, my client works with government, service providers, the corporate sector and refugee and wider communities with the aim of carrying out its mission.


The Role


Executive support for the CEO
Facilitate the professional running of the CEO's office in an efficient and constructive manner.
* Ensure the effective management of priorities through high quality administration and follow through of tasks
* Coordinate the effective and well organised flow of information and communication between the CEO and internal and external stakeholders
* Manage the CEO's diary including meetings, appointments and travel, both domestic and international
* Coordinate and attend meetings, assist in the preparation of agendas and papers, take minutes and follow through on actions and business arising
* Administer, proof read and draft correspondence, reports, presentations, and meeting documentation
* Conduct research to prepare background information and briefing documents
* Coordinate the CEO's expense acquittal process


Executive support for senior management

Provide general administrative executive support and secretariat services for senior management as required.
* Coordinate and attend meetings, assist in the preparation of agendas and papers, take minutes and follow through on actions and business arising
* Assist with submissions and reports to the Board and external parties
* Assist with diary management and work flow
* Coordinate travel.


Executive Services Team Support
* Provide support in areas related to communications and public relations
* Assist with the planning and implementation of organisational events and activities
* Support general administrative matters such as monitoring and responding to general emails and other duties as required
* Provide back-up to Head Office Reception as required.

Your Skills


Essential
* Demonstrated experience supporting a CEO and senior executive group
* High level organisational skills - planning, coordination, priority setting, task management and follow through.
* The capacity to strategically assess important issues related to the office of the CEO and the organisation as a whole
* The ability to manage complex and sensitive work situations with sound judgement, discretion, and empathy
* The ability to work autonomously as well as under direction, responding with nous, flexibility and collegiality in often high pressure situations
* Excellent verbal and written communication skills with the ability to liaise with a range of stakeholders at various levels
* Excellent interpersonal skills, including the ability to work cross-culturally and as part of a team
* Sound research skills
* Ability to prepare high quality documents, including general correspondence, reports, meeting minutes and presentations with a strong attention to detail
* Advanced computer skills, including MS Office and Outlook
