Reason for this role:
  • This position is a permanent role to support the Director of the respective GroupTech function by providing a wide range of professional, operational, project and business support. This role requires exceptional organisational skills and an adaptable interpersonal style.
Main Duties:
  • Support the Director in the achievement of their day to day business needs, through ensuring they are fully prepared for all meetings with papers, diary management, appropriate travel and break times and proactively manage the follow-up of outstanding business issues
  • Acting as a key point of contact for the Director
  • Coordinating the agenda and completing action items arising from Leadership Team meetings and workshops
  • Prioritisation of matters arising for the attention of the Director
  • Updating of domain SharePoint site documents as required. Manage all updates to support the current team and environment.
  • Ensuring overall occupational health and safety and compliance of relevant areas while presenting monthly to the LT to ensure their involvement. 
  • General day to day office management support for Director/CIO including but not limited to:
    • Proactively manage diary
    • Monitoring and actioning of emails
    • Co - ordination of meetings, agendas / conferences/ functions, booking rooms / venues’ distribution of meeting invitations, collating replies, liaising with catering staff etc
    • Preparing presentation material
    • Coordination of travel arrangements and accommodation, both domestically and internationally
    • Processing of P Card
    • Maintain and process accounts via WEAPS
    • Adhoc administrative tasks
    • Peoplexpress "Expert User"
    • Maintaining accurate staff and distribution lists
    • Dealing with requests from key internal and external stakeholders
    • Preparation and initial assessment of recommendations submitted for approval, including travel and recruitment requests
    • Executing identified activities for engagement (such as organising morning teas, events and other related activities)
  • Monitor and report on resource and expense management:
  • Assist in managing cost centres of the team in respect to daily business costs, e.g. PC’s attached to correct cost centre, expenses processed to correct line code and cost centre, salaries and staff expenses allocated to correct cost centre.
  • Timesheeting and clarity input (where appropriate)
Experience:
  • Previous experience working as an Executive Assistant to a senior executive with a large team
  • Knowledge of WBC policies and processes
  • 2-3 years’ experience in the financial services industry and project management - desirable

  • Diary management for a senior executive
  • The ability to self-manage and achieve objectives within an ambiguous, changing environment
