Job Description

Executive recruitment company Monroe Consulting Group Indonesia is recruiting on behalf of an established global management consultancy. As expansion continues, our highly respected client is seeking an office administration professional with at least five years’ experience as a legal secretary or paralegal for the job of Legal and Client Administration. The job is based in Jakarta, Indonesia

Job summary:
The Legal and Client Administration will be responsible for client development and overseeing legal related documents. The winning candidate will work closely with the firm’s consultants and liaise with the notary. The successful applicant will also need to have a strong sense of drive and ownership to provide leadership oversight and support to the firm to provide legal counsel objectives.

Key job responsibilities include:

  • Administrative support to client inquiries, LOP and client development activities  
  • Provide administrative support related to client inquiries/pre-LOP preparation, including scheduling initial client meetings, organizing documents translation, etc.)
  • Provide logistics support to prepare the administrative requirements of the LOP: prepare letters, coordinate with Finance to obtain Legal docs, organize printing/production of LOP documents including Administrative, Technical and
  • Commercial docs according to the firm’s standard in proposal submission
  • Provide admin/logistical support to client development events such as client roundtables, forums/workshops etc.
  • Deliver LOP documents according to firm’s best practice and maintain consistency in all LOP submissions
  • Organize documents (client templates, firm templates) and file accordingly in LOP Database under each client
  • Input updates/client meetings (discussions/pre/post LOP meetings, negotiation etc) 
  • Update and maintain master client list (i.e. Digital Indonesia client list) on regular basis
  • Review and align client documents related to contract, NDA etc and provide legal input ensuring the Firm’s standard 
  • Handle corporate document registration process (i.e notary deed, business permit) and other relevant legal documents related to client procurement/engagement process
  • Attend contract negotiation meeting and liaise with client legal team (post negotiation) in contracting process 
  • Draft and review letters which require legal interpretation as required in the client procurement process
  • Provide preliminary legal counsel to the office in conjunction to the Firm Legal 
  • Support office in responses to client audit and regulatory audit
  • Maintain contract and corporate document database
  • Support office in responses to client audit and regulatory audit
  • Coordinate the Bahasa Indonesia translation and proofread the Bahasa contract ensuring correct legal interpretation and all aspects of the Firm’s interest in the agreement are covered

Job requirements:

  • Bachelor’s degree in related field
  • 5-7 years paralegal/ legal secretary, preferably in a professional services environment
  • Exceptional interpersonal and communication skills, both written and verbal
  • Outstanding organizational and project management skills 
  • Ability to multi-task effectively and efficiently and proactively drive improvement initiatives
  • Proven ability to handle confidential information
  • Exceptional accuracy combined with a focus on efficiency
  • Excellent time management skills
