An exciting opportunity has arisen for an Office Administrator to join the Essense team. This position is based in our Perth, Australia office and is responsible for a wide range of general office duties, including reception, office and facilities.
This dynamic and varied role covers the general day-to-day administration and reception duties in addition to providing travel, events, and facilities support. The ideal candidate will be a highly organised, professional, and proactive individual, with excellent customer care, problem solving and communication skills to assist in the smooth operation of the office.
First impressions – meet, greet and provide hospitality to employees and visitors in a professional, positive, and welcoming manner.
Handle incoming calls to the general business line and route to appropriate departments.
Process and direct mail and incoming packages or deliveries, notifying appropriate parties.
Maintain safety and security awareness and follow protocols if a safety situation arises.
Conduct daily checks to ensure all facilities (inc. office areas, café, restrooms, car parks and other common areas) are clean and well presented.
Liaise with appropriate vendors to organise preventative and scheduled maintenance, repair services and upgrade of building, car parks and/or company equipment.
Order office supplies and research new deals and suppliers, maintaining a contact list of those.
Provide administrative and facilities support for company-owned properties and vehicles in Perth.
Coordinate building and parking passes, keeping inventory and appropriate stock levels.
Monitor and maintain the ‘Facilities’ inbox and other communication channels related to general office admin, facilities and events.
Coordinate and manage travel, and accommodation for employees as required.
Provide local administration and coordination support to the Global Events team in the planning and execution of various internal company events.
Actively research and identify future partnership opportunities in terms of vendors, venues, quotes, etc.
Propose and organise internal staff events such as team celebrations, Christmas lunches/dinners and external functions.
Minimum 5 years general office experience, including administration, travel, facilities and executive support.
Exceptional customer service skills and professional manner.
Professional maturity, particularly about confidentiality and integrity in managing sensitive information.
Clear communication style, with outstanding written and verbal communication skills.
Solution focused, with an outstanding ability to identify and resolve problems in a timely manner.
Self-driven, able to use initiative to find information that may not be readily available.
Confident and strong relationship building skills.
Highly organised and resourceful, with ability to project manage and work to tight deadlines.
Excellent organisation skills with the ability to multi-task in a high intensity work environment.
Intermediate to advanced levels of Microsoft Offices skills (Word, Excel, and Outlook).
