School/Center Overview
The Division of Facilities and Real Estate Services (FRES) provides the expertise, business process, policies and standards required to plan, design, construct, operate, maintain and renew the physical assets of the University, excluding the Hospital of the University of Pennsylvania. In addition, the Division is responsible for the strategic planning, management and operation of non-academic University property, and collaborating with neighborhood stakeholders to create a safe, diverse and economically vibrant destination. FRES maintains 16.3M square feet of space located in 218 buildings on a campus of 300 acres; completes over 85,000 maintenance requests per year, and annually initiates approximately 250 capital projects with an annual budget of approximately $300M. FRES is comprised of the following departments: Administration, Office of the University Architect, Design and Construction, Real Estate, Operations and Maintenance.
Duties
InThis position supports the Director of Portfolio Management and works collaboratively with the Lease Administrator to ensure the accuracy and completeness of lease transactions. The Real Estate Associate is the point of contact for Penn Tenant lease requests and manages the overall pre-transaction and transactional process; as well as identifying problems and resolving potential conflicts. The candidate must possess skill sets to read floor plans, understand overall construction process and real estate lease transaction from inception to completion.. This candidate needs to be well organized and detail oriented. They will be responsible for payment processing related to lease operating expenses. This position is also responsible for periodic reporting utilizing leasing system and assisting the Director of Portfolio Management with the space tours and end of term vacating processes, market research, and adherence to University’s administrative approval process for the acquisition/disposition of leases.
Qualifications
A Bachelor’s Degree and 3 years to 5 years of experience or equivalent combination of education and experience is required. Ability to work on multiple endeavors simultaneously, prioritize, follow up informally and formally and bring endeavors to conclusion. Highly developed verbal and written communication skills, Ability to work both independently and as part of a team and instinctually curious. High proficiency in MS Office products and software system for managing leases, attention to detail, strong organization and time management skills and effective interpersonal skills with a focus on customer service. Beneficial skills and experience also includes:Commercial real estate experience in lease administration, Real estate accounting and Space planning and ability to understand floor plans.
