Position Description

Receptionist /Admin Assistant – Dubai

Position purpose

This position will provide general administrative support to the business including Finance and Customer administration.  The position will include secretarial and receptionist services as well as managing the activities of the office assistant.

Responsibilities

Reception

  • Responsible for receiving external visitors to office and ensuring visitors book completed

  • Responsible for receiving and correctly directing all external calls to the office

  • Responsible for monitoring access control to office

  • Responsible to manage leave register for all staff and circulation of monthly report to managers

    HR

  • Manage activities of Public Relations Officer – weekly to do list follow up

    Central Purchasing

  • Managing the Purchase order processes

  • Responsible for raising and receipting of overhead related Purchase Orders

  • Resolution of all indirect purchase order queries

  • Scanning of invoices to Genpact for onward processing

  • Management of vendor invoice query resolution

  • Management of contract purchase order processes

  • Distribute credit card statements and follow up to ensure excel s/s’s completed by each card holder itemising their approved spend.

  • Distribute mobile phone bills

    Finance administration

  • Managing the vendor activation process

  • Overseeing the vendor master data maintenance process

  • Liaise with Genpact re: vendor payment process

  • Responsible to monitor adherence to requirements for vendor account creation

  • Management of regional petty cash system and monthly reconciliation

    Travel co ordination

  • Co-ordination of all regional travel requirements

  • Negotiation of rates for hotel accommodation with suppliers

  • Resolution of travel agency queries

    Customer administration

  • Adhoc customer administrative issues

  • Providing support  for  regional marketing requirements

  • Providing support for customer event management processes

    General

  • Managing the regional archiving systems

  • Managing regional stationary ( internal and external) requirements

  • Courier services management

  • Responsible for management of office cleaning contract

  • Banking

  • Manage activities of office assistant – cleaning, filing, printing, scanning

Qualifications

  • High School Graduation certificate as a minimum. Preferable to be university graduate.

 Experience

3+ years general administrative experience.

2 years SAP experience an advantage

 Skills and Knowledge

Microsoft Office, SAP, BW, Siebel.

Personal – Team player, organised, accurate, work under pressure, numerical, ability to simplify
