About the opportunity

Department Description

The On-boarding and Oversight Team is part of the Luxembourg Transfer Agency. The role of the department is to prepare and document new client onboarding as well as perform on-going Due Diligence on various client types and service providers. Beside of this the department acts as the centre of expertise in relation to AML, KYC and KYD queries and questions raised by internal stakeholders    

Purpose of your role

You will support the existing team on their day to day tasks and be responsible for organising new client onboarding as well as performing ongoing Due Diligence on shareholders, intermediaries and distributors in accordance with regulatory standards and internal policies/procedures within agreed timeframes and applicable service level agreements. In addition you are required to manage all kind of operational legal cases.

Working in close cooperation with client facings teams, client relationship managers and the local MLRO department does require excellent communication and organisational skills, together with strong attention to detail. You will also be required to retain a level of product and procedural competence as well as an in-depth knowledge of the markets.

Key Responsibilities

  • Perform initial customer Due Diligence in line with client acceptance polices and SLAs
  • Ensure timely completion of ongoing customer reviews on a risk-based approach, applicable polices and standards
  • Follow-up on trigger events - corporate events
  • Respond to e-mail queries
  • Timely escalation of identified issues
  • Ensure completion of daily/weekly and monthly tasks and activities
  • Develop and maintain a complete understanding of Fidelity’s products, procedures and systems, as well as an in-depth knowledge of service offering and distribution.
  • Maintain accurate customers review records
  • Build and maintain professional relationships with internal or external stakeholders
  • Perform manual sanctions screening and adverse media investigations
  • Maintain AML/KYC related customer details in our core administration system

Experience and Qualifications Required

  • Relevant experience in AML landscape
  • Experience in the client take-on and/or ongoing Due Diligence area is considered as a strong asset
  • Good level of understanding of AML/KYC documentation required for different customer types
  • Basic understanding of Foreign Account Tax Compliance Act and Common Reporting Standard regulations
  • Understanding of the regulatory landscape
  • Excellent communication and social skills - ability to communicate effectively at all levels
  • Fluent spoken and written English
  • Any other language would be considered as an asset
  • Team player who can gain the support and commitment of peers and internal stakeholders
  • Accuracy and attention to detail in all aspects of service delivery, documentation and reporting
  • Demonstrate a high level of commitment and professionalism to the role
  • Ability to work on own initiative and under pressure as a team
  • Strong organisational skills - ability to ‘multi-task’
  • A proactive approach to internal relationships with an analytical, enquiring mind and a willingness to learn
  • Proven analytical skills – ability to extract, analyse and assimilate information
  • Confidence and skills to manage change processes or initiatives when required
  • Willingness to question processes with a view to improving service delivery
  • Can do attitude reflected in pro-active internal problem resolution and follow-up
  • Accuracy and attention to detail in all aspects of service delivery, documentation and reporting
  • Ability to work on own initiative and under pressure as a team
  • Proficiency in major MS Office Applications (Word/Excel/PowerPoint)
