Senior Team Assistant- Munich

This new role an exciting opportunity to join us on an ambitious path to grow our team in Munich.    The Senior Administrator role has responsibility for providing proactive and well organised support across the newly opened Munich office and a small team of investment professionals.

We’re looking for an organised, enthusiastic, approachable individual to ensure the office runs smoothly and deal with any issues that may arise quickly and efficiently. You will be looking to pro-actively seek potential issues before they arise, make clients and guests welcome in the space and ensure a positive community atmosphere.

You will possess the ability to complete tasks and projects quickly with little guidance in addition to working collaboratively with other Office managers, Administrative or Executive Assistants around the global firm. Your organisational skills will help the Munich based team, who travel extensively to meet clients across Europe and to CA offices worldwide.

Duties and Responsibilities   include, but are not limited to, the following:

Smooth running of the office

  • Overseeing general office operations, ensuring the smooth day-to-day running of the office, including management of vendor relationships, liaising with the building management team, overseeing cleaning and maintenance and health and safety
  • Design, implementation and improvement of processes for office and operations management
  • Managing stationery, office supplies and consumables
  • Production and mail

Visitors’ experience

  • Answering incoming calls
  • Booking and preparing meeting rooms
  • Visitor refreshments
  • Assisting with meeting technology
  • Assisting with on-boarding of new employee ​

Administrative responsibilities

  • Managing complex calendar and scheduling requirements internationally
  • Take responsibility for the management of team and office diary, meetings and events
  • Organising national and international trips including all travel arrangements, accommodation, visas, maintaining the itinerary and compiling expense claims on return
  • Maintaining up-to-date contact databases
  • Office events / projects -  This could be a diverse spectrum but examples may include:
    • Participate in a global projects, for example to implement a new system or vendor within your office
    • Planning and executing office space requirements, seating plans, refurbishments
    • Helping to plan the special events and team-building activities

Qualifications/experience:

We are looking for a highly organised individual, who is a self-starter and seeks an exciting position within a growing investment company. The role best suits those who have a hands-on approach, can think outside of the box and are keen to learn. Prior experience in an office environment desirable.

  • Successfully concluded a relevant apprenticeship (Kaufmännische Ausbildung)
  • Fluent in German and English
  • Experience of providing administrative support in a demanding office environment. Proficient at complex diary management
  • Demonstrates absolute discretion when handling confidential or commercially sensitive information
  • Comfortable liasing with both internal and external senior stakeholders
  • Experience researching, sourcing and negotiating favourable procurement terms
  • Ability to work independently and make informed decisions / apply judgement
  • Demonstrable experience of Microsoft Office applications (including Word, Excel and PowerPoint)
  • Must be eligible to work in Germany without sponsorship or restrictions.
