Position Purpose:

The key role as a Team Coordinator is to provide quality administrative support to the Regional General Manager and co-ordination for the SK-II team (sales & marketing), thereby ensuring smooth daily operations and building a collaborative work environment. You will manage business related tasks for the team such as creating reports, managing databases and systems, and other organizational tasks. To execute this role successfully you should have a detailed understanding of the full Microsoft Office suite, be extremely fast at solving problems (PROACIVELY FINDING SOLUTIONS) and with experience as an Executive or Administration Assistant in the past. You must be mature enough to communicate smoothly with both key internal and external stakeholders and FOLLOW THROUGH TO GET THINGS DONE.

What we want you to do...

  • To support the Regional General Manager on a day-to-day basis and to oversee the key operational / administrative needs of the REGIONAL TEAM in an efficient manner, while maintaining discretion and confidentiality.
  • Proactive calendar management and extensive coordination of meetings and appointments schedules (e.g. setting up internal & external conference calls/meetings, logistical planning) for Regional General Manager and the SK-II teams.
  • Work closely with Regional General Manager to help disseminate information and coordinate sales and marketing related activities (e.g. new product sell-in, sales incentives, store openings, etc.) with the relevant markets.
  • Arranging travel, visas and accommodation for the Regional General Manager (primary) and the regional SK-II team (case by case basis).
  • Coordination between marketing and supplier on the quotation and issue Purchase Orders (PO) for sales & marketing.
  • Typing, compiling and preparing reports, presentations and correspondence.
  • Collating and filing expenses and claims for Regional General Manager. Managing databases and systems internal to Luxasia e.g. performance management etc for Regional GM.
  • Provide any other team / administrative support on day-to-day matters when as needed.

  • Have a tertiary education and relevant working experience that will allow a successful performance of job expectations. (IDEALLY HAVE SOME EXPERIENCE WORKING WITH REMOTE OFFICES / REGIONAL TEAMS)
  • Proven experience as an Executive Assistant or other relevant administrative support experience.
  • Being able to use advanced mail features to manage and customize mail environment and calendar options.
  • Ability to organize a daily workload by priorities. PROACTIVE, STONG FOLLOW THROUGH TO GET THINGS DONE
  • In-depth understanding of entire MS Office suite.
  • Must be able to meet deadlines in a fast-paced quickly changing environment.
  • Professional level verbal and written communications skills in Bahasa Malaysia and English language.
