Position Overview :
Key Responsibilities :
- Manage and control all project documentation: agendas, meeting minutes, reports, and correspondence.
- Coordinate and track RFIs (Requests for Information) and submittals.
- Update construction schedules based on contractor progress, material deliveries, and team input.
- Ensure compliance with client and internal document control standards.
- Support construction team in tracking outstanding items and closing observations.
- Receive, review, distribute, and monitor the status of submittals.
- Initiate, prepare, review, track, and distribute RFIs.
- Assist in managing the project permit process.
- Assist in the preparation of bid packages and procurement documentation.
- Participate in change management, including request, review, and preparation of quotations and change orders.
- Track and verify material deliveries.
- Support the preparation of monthly project status reports for the owner.
- Attend project meetings and take meeting minutes as directed.
- Assist or lead project close-out processes.
- Enforce and communicate Manhattan’s environmental, health, and safety policies.
- Promote an injury-free work environment through personal actions and team guidance.
- Maintain accurate and up-to-date contract documentation.
- Provide administrative and technical support to the Senior Project Manager.
- Perform other related duties as assigned.
Requirements :
- Bachelor’s degree in Architecture, Civil Engineering, or related field.
- Minimum 3 years of experience in document control roles within the construction industry.
- Proficiency with platforms such as Procore, Aconex, SharePoint, or similar.
- Knowledge of scheduling tools (MS Project, Primavera, etc.).
- Technical conversational English (required).
Preferred Qualifications :
- Experience in hospitality, residential, or infrastructure projects.
- Excellent communication skills, attention to detail, and ability to work under pressure.
- Strong teamwork and coordination skills in multidisciplinary environments.
