Job Summary
PACT (Pearson Accelerator Construction Team) is a General Partnership of Alberici, Amico, Kenaidan, and Obayashi, supported by design partners Egis, Mott MacDonald, and Weston Williamson + Partners. Together, we are delivering Accelerator, a major program of Pearson LIFT (Long-term Investment in Facilities and Terminals), Toronto Pearson's infrastructure development plan. This multi-year program is designed to address immediate passenger growth demands while preparing Canada’s largest airport for the future of air travel—including critical upgrades to airfield and infrastructure, greenhouse gas reduction initiatives, modernization of Terminals 1 and 3, and the creation of a world-class passenger experience.
The Document Control Coordinator plays a vital role in managing the flow of information across the project team and external stakeholders. This position ensures the accuracy, security, and timely distribution of all project documentation for the Pearson Airport Construction Team (PACT), including design drawings, reports, RFIs, submittals, and correspondence. The role supports compliance with contractual, regulatory, and quality standards through structured document control systems and best practices.
Responsibilities
- Receive, log, track, and distribute project documents using the designated document management system (e.g., Aconex, Autodesk Construction Cloud, Procore, SharePoint).
- Maintain up-to-date records of all incoming and outgoing documents in accordance with project naming conventions and version control protocols.
- Ensure timely review, approval, and distribution of documents to relevant internal and external stakeholders.
- Support the submission process of design drawings, technical documents, RFIs, NCRs, submittals, and transmittals.
- Generate document logs, status reports, and trackers for reporting purposes.
- Work closely with engineering, construction, quality, and commercial teams to maintain accurate document workflows.
- Support audits and quality assurance by ensuring that all required records are properly archived and accessible.
- Assist with onboarding and training staff on document control procedures and platform usage.
- Coordinate with the project team to resolve document discrepancies, duplicates, or missing information.
- Ensure all controlled documents are filed and archived in accordance with retention policies.
Qualifications
- 3+ years of experience in document control, preferably on large-scale infrastructure or aviation-related construction projects.
- Proficiency in document control platforms (Autodesk Construction Cloud, Aconex, SharePoint, or similar).
- Strong understanding of version control, metadata, and document lifecycle practices.
- High level of organization, attention to detail, and ability to manage multiple priorities.
- Excellent communication and interpersonal skills to liaise with multidisciplinary teams.
- Proficient in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
- Experience working with construction teams, consultants, and project partners in a high‑paced environment.
- Familiarity with ISO standards and QA/QC documentation is an asset.
