An exciting opportunity has arisen for an Executive Assistant to join the cross-border investment team, based in Sydney. This role is pivotal in supporting senior executives and investment professionals, ensuring seamless coordination across multiple geographies and time zones. You’ll be part of a professional, fast-paced team that values attention to detail, integrity, and initiative. Duties and Key Responsibilities

  • Coordinate complex diary management and multi-party meetings across global time zones
  • Arrange international travel itineraries including flights, accommodation, and transport
  • Prepare and submit accurate and timely expense reports
  • Support visa applications and work permits as needed
  • Maintain contact databases and business card records
  • Build strong internal and external stakeholder relationships
  • Provide general administrative support to a busy team of investment professionals
  • Collaborate with other assistants and team members to ensure smooth operations

Skills and Experience
You’re a highly organised, adaptable Executive Assistant with a proactive attitude and a background in supporting senior stakeholders. Calm under pressure and detail-oriented, you are someone who takes pride in delivering exceptional service with discretion and professionalism. Ideally, you’ve worked in an international or high-performance environment and are motivated by being a key part of a collaborative and purpose-driven team.

  • Proven experience as an Executive or Team Assistant
  • Excellent communication and time management skills
  • Ability to handle confidential information with discretion
  • Experience in investment, financial services, or professional services
  • Familiarity with coordinating international travel and visas
  • Proficiency in Microsoft Office and other productivity tools
