Program: Get SET (Skills, Education, and Training)

Position Title: Program Coordinator

Term: Full time, Permanent

Location: West Centre

Hours: 35 hours a week (Hybrid – 4 days on site, 1 day remote)

Salary Range: $60,00 to 65,000

Start date: September 8, 2026

Reports to: Get SET West, Manager

Position Summary

Our Get SET program takes a holistic approach to adult learning, providing inclusive, learner‑centred programming that supports participants in achieving meaningful employment, pursuing further education and training, and building greater independence. We are committed to creating engaging learning opportunities that meet learners where they are and empower them to reach their goals.

The Program Coordinator is responsible for the day‑to‑day coordination and effective delivery of PTP's Get SET (formerly Literacy and Basic Skills) program. Working closely with the Program Manager, the Coordinator ensures the smooth operation of the program by overseeing participant outreach, intake, assessment, scheduling, learner progression, and ongoing program administration.

As a key liaison between instructors, participants, community partners, and administrative staff, the Program Coordinator plays an integral role in maintaining high‑quality service delivery and a positive learner experience. The Program Coordinator is responsible for accurate data management, ensuring compliance with funder requirements, monitoring program outcomes, and supporting the achievement of service targets.

They will recognize the systemic barriers that can affect learning and participation and will apply an equity‑informed, learner‑centred approach to program coordination, participant engagement, and continuous program improvement. They will also demonstrate a commitment to reflective practice, ongoing professional learning, and collaborative engagement to foster meaningful participation and support positive learner outcomes.

Key Responsibilities:

• Manage referral tracking processes and respond to program inquiries in a timely and professional manner.
• Schedule and conduct intake interviews and initial assessments; score assessments; and schedule classes based on learner needs and placement decisions.
• Support the development of learner plans informed by learner goals and aligned with pathways within the Ontario Adult Literacy Curriculum Framework (OALCF).
• Carry out assessment activities to help evaluate learner progress and meet program commitments.
• Work with participants on a one‑to‑one basis, as required, to review progress, coordinate supports and services, maintain engagement, and support program completion.
• Track learner attendance and follow up to encourage engagement and consistent participation.
• Prepare letters confirming program participation upon request.
• Maintain accurate and consistent tracking to support program performance commitments and reporting requirements.
• Prepare and deliver some classes, as assigned; this role may also involve the supervision of some learner volunteer activities within the program.
• Maintain knowledge of community resources and make appropriate referrals to internal and external services to support learner needs and successful program participation.

Skills, qualifications and experience

Education

• Diploma or degree in Adult Education, Social Services, Community Development, or a related field.
• Equivalent combination of education and relevant experience will be considered.

Experience

• Minimum of 2 years' experience in program coordination or a related role, preferably within an Employment Ontario program such as Literacy and Basic Skills (LBS).
• Experience with intake, assessments, and case management in adult education settings.
• Demonstrated experience supporting learners facing barriers (e.g., newcomer status, low income, mental health, etc.).

Knowledge, Skills & Abilities

• Strong knowledge of Get SET (formerly, Literacy and Basic Skills) program and guidelines.
• Experience working with EOIS-CaMS or similar data management systems.
• Excellent organizational and time‑management skills; ability to manage multiple priorities.
• Strong communication and interpersonal skills, with the ability to engage diverse participants.
• Proficient in Microsoft Office (Word, Excel, scheduling tools).
• Attention to detail and accuracy in data entry and reporting.
• Strong organizational skills, with the ability to manage multiple priorities and meet deadlines consistently.
• Demonstrated commitment to equity, inclusion, and anti‑oppressive practices.
• Sound judgment, professionalism, and ability to maintain confidentiality.

Assets

• Experience teaching adults with basic literacy and foundational skills needs is considered an asset.
