Title: Program Coordinator

Job Description:
Under the supervision of a Board-Certified Music Therapist (MT-BC), the Music Therapy Assistant and Program Coordinator provides administrative, operational, and program support for music therapy services. This role supports patient access, program coordination, and logistics, and does not provide direct music therapy treatment or clinical interventions.
Responsibilities
- Assists with patient greeting and check-in for individual outpatient music therapy appointments.
- Supports coordination and daily operations of group music therapy programs, including:
- Checking in patients upon arrival for group sessions
- Assisting participants with registration, via email, phone, or in person
- Managing and maintaining waitlists for group programs
- Processing group cancellations and updating attendance records
- Preparing, organizing, and distributing materials for group sessions
- Provides setup and logistical support for outpatient and community-based programming, including on-site assistance during programs.
- Assists in the development and coordination of the monthly Music Therapy program flyer, as directed by the music therapist.
- Assists with registration system tasks (e.g., Momentus), including creating and modifying monthly group registrations, based on access and training.
- Maintains attendance logs, and program records in accordance with departmental standards.
- Maintains inventory of instruments and program supplies
- Organizes and maintains materials and administrative resources.
- Demonstrates professional communication with patients, families, community partners, and interdisciplinary team members.

- Requires strong organizational, clerical, and communication skills.
- Requires ability to manage multiple tasks, coordinate schedules, and support program operations in a dynamic clinical and community-based environment.
- Requires ability to learn and utilize electronic systems (e.g., scheduling and registration platforms such as Momentus).
- Comfortable interacting with patients in person, by phone, and via email
- Strong attention to detail and organizational skills
- Effective communication and customer service skills
- Flexible and adaptable to changing environments, including mobile and community-based workspaces
- Comfortable working in active, and sometimes loud, environments (e.g., music, drums, group settings, children)
- Interest in or appreciation for music preferred
Physical Requirements
- Ability to lift and transport instruments and equipment (up to 20 pounds)
- Ability to stand and remain on feet for extended periods
- Ability to travel locally to community sites (approximately once per month)
