Sustainability & HVAC Programmes (Amazon Account - Remote)
Role Overview
Responsible for the planning, coordination, and delivery of multiple concurrent sustainability and HVAC/BMS programmes across a large portfolio of Amazon sites throughout Europe. The role requires end-to-end ownership, from initial client contact and vendor engagement through to programme delivery, completion, and handover. Working closely with the service delivery team and Amazon Stakeholders, you will develop and maintain programme frameworks that ensure all workstreams are delivered on time, within budget, and to the required standard.
You will be the main point of contact for programme-wide risks, issues, and updates, and will work across internal teams, external partners, and client stakeholders to keep programmes on track. A solid understanding of HVAC and BMS systems is beneficial to engage effectively with technical and operational requirements across the estate. The role requires occasional travel across Europe to support programme delivery.
Principal Duties & Responsibilities
Programme Planning & Governance
- Define and maintain the overall programme plan, incorporating workstream dependencies, critical paths, resource requirements, and milestone schedules across all European Amazon sites.
- Develop and manage programme schedules using tools such as Airtable.
- Apply appropriate programme management methodologies tailored to the scale and complexity of the portfolio.
- Embed lessons learned and drive continuous improvement across programme delivery.
Stakeholder & Client Communication
- Act as the primary point of contact for programme status, risks, and updates across internal teams, Amazon Account Management, and wider client stakeholders.
- Tailor communication to the audience, from technical site teams through to senior client and internal leadership.
- Produce and distribute weekly programme reports to all relevant stakeholders, covering programme status, project health, RAID, change requests, and other key updates.
- Keep Amazon Account Management informed of recurring service challenges and ensure escalations are resolved promptly.
- Manage client expectations, maintain strong working relationships, and support long-term collaboration.
Risk, Issues & Change Management
- Own the programme RAID Log and conduct regular risk reviews, with clear mitigation and contingency plans in place.
- Manage cross-site dependencies and issues, ensuring risks are flagged early and resolved within agreed tolerances.
- Review and approve Scopes of Work and change requests, ensuring all mechanical, electrical, and sustainability requirements are clearly defined and authorised.
- Maintain an auditable trail of scope, schedule, and budget changes across the programme.
Resource & Delivery Coordination
- Coordinate resource allocation across concurrent programmes, working with Team Leads and Supervisors to manage capacity and resolve conflicts.
- Engage and manage external vendors and subcontractors across European sites, ensuring quality, safety, and contractual standards are met.
- Translate programme plans into clear site-level execution schedules with defined accountability and milestone tracking.
Financial Management
- Track and manage programme budgets across the Amazon portfolio, including cost forecasting, variance analysis, and profitability monitoring.
- Assist in preparing and managing change orders while maintaining budget control.
- Address financial queries and work with relevant teams to ensure accurate reporting.
Knowledge & Competencies
- Experience managing multiple programmes or large-scale projects within the HVAC, BMS, sustainability, or built environment sector, ideally across multiple sites or geographies.
- Working knowledge of HVAC and BMS systems sufficient to engage with technical teams and understand site-level requirements.
- Familiarity with programme or project management methodologies such as APM, MSP, PRINCE2, or PMI.
- Strong organisational and time management skills, with the ability to manage competing priorities across a busy portfolio.
- Clear and confident communicator, both written and verbal, across technical and non-technical audiences.
- Analytical and detail-oriented, with a structured approach to problem-solving and decision-making.
- Comfortable working in a fast-paced environment where priorities can shift quickly.
Skills
- Proficient in programme planning and scheduling tools such as MS Project, Smartsheet, or equivalent. (Airtable is used but skills are transferable)
- Able to interpret client requirements and translate them into clear, deliverable programme outcomes.
- Skilled in working with data sets and reporting tools to track performance and present updates to stakeholders.
- Strong working knowledge of Microsoft 365, including Excel, PowerPoint, Teams, and SharePoint.
- Experience working on sustainability-focused programmes including energy efficiency, carbon reduction, or ESG initiatives is desirable.
- Familiarity with Amazon systems, processes, teams and terminology would be advantageous. (MCM, Amazon Approvals, AVETTA, Permit to Work etc)
