Our client is seeking a Program Operations Coordinator to join their team in their New York City office.

The Program Operations Coordinator coordinates and supports the operational execution of organizational priorities and day-to-day activities within the Science and Engineering Enablement Core (SEEC). This role works across teams to help coordinate operational processes, maintain key systems and records, and support the implementation of programs, projects, and organizational initiatives, as well as complex scheduling for the Director of the Autism Center. The Program Operations Coordinator serves as a key operational resource for the team, supporting activities related to contracts, personnel processes, budget tracking, subscriptions, facilities coordination, and project implementation.

Reporting to the Director, Operations and Project Management, this is a full-time, non-exempt position located in our Midtown Headquarters office, requiring a minimum of 4 days in the office.

You Will:

  • Coordinate operational processes across multiple teams, ensuring activities, approvals, documentation, and follow-up actions are completed accurately and on schedule.
  • Manage administrative operations including contracts, vendors, subscriptions, licenses, and other recurring organizational commitments.
  • Support personnel administration by coordinating hiring, onboarding, offboarding, and related processes in partnership with Human Resources.
  • Monitor operational spending, support the tracking of budgets v. actuals and maintain records and trackers to support effective planning and decision-making.
  • Manage complex scheduling and strategic calendar coordination for the Director of the Autism Center.
  • Coordinate office and facilities operations, including workspace management, logistics, and vendor requests.
  • Support projects and organizational initiatives through meeting coordination, documentation, action tracking, implementation support, and process improvement efforts.
  • Develop and maintain operational procedures, templates, and shared resources that promote consistency, efficiency, and organizational effectiveness.
  • Perform additional job-related duties as needed.

You Have:

  • Bachelor's degree required.
  • 3-5 years of professional experience in operations, administration, program coordination, project coordination, nonprofit management, or a related field.
  • Strong organizational skills and demonstrated ability to manage multiple priorities simultaneously.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Experience working collaboratively across teams and coordinating administrative or operational processes.
  • Excellent written and verbal communication skills with a high degree of professionalism.
  • Strong organizational skills, attention to detail, and commitment to follow-through.
  • Ability to work independently, exercise sound judgment, and manage competing priorities in a fast-paced environment.
  • Strong problem-solving skills and a proactive approach to identifying and addressing operational challenges.
  • Ability to handle sensitive and confidential information with discretion.
  • Curiosity about how organizations operate and a strong interest in developing expertise in nonprofit operations, program management, and organizational effectiveness.
  • Ability to build effective relationships with colleagues, vendors, and stakeholders across the organization.
  • Demonstrated ability to coordinate multiple projects and priorities simultaneously while working effectively across departments and stakeholders.

Special Considerations:

The anticipated salary range for this position is $70,000 - $80,000 USD annually.
