Retirement Living Support Coordinator

$85,400 (inclusive of 12% super)

About the Role

Peninsula View Retirement Living has just opened its doors in Frankston South, and we're looking for a Retirement Living Support Coordinator to help shape this new community from the ground up. You'll provide key administrative and customer service support to the Retirement Living Manager, covering everything from resident accounts and site administration through to helping welcome new residents into the village. You'll also work closely with the team at the co-located Peninsula View Residential Aged Care facility to ensure a joined-up experience for residents and families across the site.

This is a genuinely rare opportunity to be part of a brand-new site's earliest days — building relationships, systems and community spirit from day one, rather than stepping into an established routine.

This is a Full-Time position, working Monday to Friday, 8:30am–4:30pm.

What You'll Do

  • Manage site administration and operations, including resident accounts, contracts, invoices, petty cash and reception duties
  • Support the Manager with the sales and marketing of vacant villas, including organising tours and preparing contracts
  • Deliver high-quality, customer-focused service to residents and their families
  • Build and maintain key relationships with residents, staff, volunteers and contractors
  • Support the Residents Committee with the planning and delivery of social events and activities
  • Manage the staff roster and maintain accurate records in line with BaptistCare policies and procedures
  • Maintain electronic systems including Riskman and Salesforce
  • Produce the monthly community newsletter and support resident meetings, including minute-taking
  • Support the management of volunteers alongside the Volunteer Coordinator
  • Maintain a good working relationship and clear communication with the co-located Peninsula View Residential Aged Care team and Central Office
  • Maintain strict confidentiality regarding resident, staff and stakeholder information at all times

About You

  • Well-developed communication and interpersonal skills, with the ability to build trust and rapport with an older generation
  • A positive, flexible approach and the confidence to navigate the day-to-day challenges of a newly established site
  • Advanced computer skills, including document production, word processing and spreadsheets
  • A genuine commitment to customer service and building community
  • Strong negotiation and interpersonal communication skills
  • The ability to work autonomously, prioritising your own workload within established policies and procedures
  • A strong understanding of office procedures and record keeping, with good organisational and planning skills
  • Flexibility to work outside standard hours where community events require it

You'll also need:

  • Certificate or Diploma in Business Administration (essential)
  • Experience using Microsoft Office and Salesforce (essential)
  • Experience in event management (essential)
  • Level 2 First Aid and prior experience in Retirement Living (desirable)
  • Satisfactory National Police Check
  • Driver's licence
