About the role:

John Holland is currently seeking a proactive and highly organised Assistant Document Controller to join the team working from our Perth CBD office. This is a varied role, ideal for someone who enjoys combining document control responsibilities with broader administrative support to help keep a busy project team running efficiently.

Key Responsibilities

• Provide day-to-day administrative support to the project team, ensuring smooth office and project operations.
• Coordinate travel, accommodation, meeting bookings, catering and other logistical requirements for project personnel.
• Assist with onboarding activities, PPE ordering, equipment requests and site access requirements.
• Maintain project registers, training matrices, contact lists and other key project records.
• Prepare reports, presentations, meeting agendas, minutes and general correspondence.
• Support project managers and engineers with ad hoc administrative tasks and team coordination activities.
• Establish, maintain and administer document control systems to ensure accurate, secure and traceable management of project records and documentation.
• Register, distribute, track, archive and retrieve project documents, including drawings, technical documents, reports and correspondence.
• Ensure all project documentation complies with project procedures, client requirements and regulatory standards.
• Maintain version control and ensure document integrity throughout the project lifecycle.
• Support document reviews, approvals and submissions in line with project requirements.

About You:

• Previous experience in an Administrative Assistant, Project Administrator, Office Administrator, Assistant Document Controller or similar support role.
• Experience in document control within the construction, engineering, infrastructure or related industries will be highly regarded.
• Strong administrative coordination skills with the ability to manage multiple priorities and deadlines.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook and PowerPoint).
• Experience using document management systems such as Aconex, SharePoint or similar platforms is advantageous.
• Exceptional organisational skills and attention to detail.
• A proactive and adaptable approach, with a willingness to assist the wider project team across a variety of administrative functions.
• Strong communication and stakeholder management skills.
• Enthusiasm to learn different aspects of project administration, including travel coordination, reporting, onboarding support and project systems.
• Tertiary qualifications in Business Administration, Information Management or a related discipline are desirable.
