Position Summary:

The 340B Program Coordinator is responsible for the management of the pharmacy 340(b) drug discount program for all qualified entities within the organization. Such management and coordination include ensuring compliance with all federal regulations and related interpretations, ensuring the program is fully implemented in all areas of qualified use, and ensuring records and documentation are complete and accurate.

What you will do:

The 340B Program Coordinator works with the Director of Pharmacy and the Shared Services Director of Accounting to coordinate, advise and oversee all matters related to the 340B program at Mercy Health Saint Mary's. The responsibilities fall into the following general areas with more specific roles and responsibilities on file with the Directors.

340B Program Coordination

  • Serves as primary internal program coordinator and liaison for all 340B related matters.

Policy and Procedure Development

  • Ensures that policies and procedures are developed, implemented, modified and maintained according to organization, regional, state, and federal requirements and guidelines and are approved by the Regional 340B Oversight Committee

Education

  • Provides and manages ongoing training, education, and communication required for the 340B program at the organization.

Rules/Guidance Surveillance

  • Routinely monitors industry publications and websites as well as the professional media, literature, and peers to ensure that the institution has the latest information regarding interpretations, rulings, suggestions, and advanced ideas for improving participation.
  • Participates and is a member of the Trinity Health 340B Steering Committee

    Registration/Recertification

    • Maintains record of provider practice site changes and crosswalk to child site registrations, cost report and trial balance departments, and name changes.
    • Provides information and supporting documents to the Entity Contact and Authorized Official for required OPAIS updates and registrations.
    • Coordinates quarterly registration with Entity Contact and Authorized Official
    • Provides information and supporting documentation required for annual recertification for the DSH and HIV programs.

    Self-Audits

    • Develops, coordinates/executes, and documents self-audits of the 340B process. Coordinates and ensures remediation of findings.

    External Audits

    • Serves as the point person and coordinator for all audits. Coordinates all requests and responses. Maintains a state of constant audit readiness.

    340B Contract Management

    • Reviews and participates in negotiation of any new 340B contracts. Coordinates legal review with Trinity Health and MHSM Legal representatives. Maintains all 340B contracts.

    Program Enhancement/Optimization

    Reporting

    • Analyzes data to identify opportunities for prescription capture, network expansion, purchasing maximization, and program growth.
    • Develops and routinely monitors monthly and annual reports on 340B participation that clearly document utilization, savings, problem areas, and exceptions or discrepancies to be shared with and reviewed by pharmacy leadership and system leadership.

    Purchasing and Inventory Oversight

    • Monitors purchasing records for each 340B participant and documents utilization, savings, problem areas, and exceptions or discrepancies. Relays results to leadership.

    Split-billing Software Maintenance

    • Covered entity liaison with 340B third party administrators for owned and contracted pharmacies
    • Communicates and guides pharmacy buyers for owned pharmacies to effectively use entity TPA systems for compliance and purchasing maximization

    What you will need:

    • Bachelor’s Degree in Business, Finance, Accounting, or Pharmacy.
    • Two years of experience with multiple aspects of the 340B program.
    • Mastery of advanced spreadsheet logic and database applications.
    • Knowledge of health care accounting, finance and reimbursement principles.
    • Ability to make sound, independent decisions, meet deadlines, and adapt to department needs.
    • Preferred: Completion of Apexus 340B University.
    • Preferred: Previous experience with health care auditing, healthcare compliance, program development andmanagement.
