Role Overview
We are looking for a Document Controller to manage and control all project-related documentation for a residential real estate project. The role involves ensuring proper documentation flow, version control, and compliance with project and statutory requirements.
Key Responsibilities
1. Document Management & Control
- Maintain and manage all project documentation (drawings, contracts, approvals, reports, etc.)
- Ensure proper version control and document numbering systems are followed
- Track incoming and outgoing documents and maintain logs/registers
- Ensure timely distribution of documents to relevant stakeholders
2. Filing & Record Keeping
- Maintain both physical and digital document repositories in an organized manner
- Ensure easy retrieval of documents for audits, reviews, and project teams
- Archive project documents as per company policy and retention guidelines
3. Coordination with Stakeholders
- Coordinate with Project Management, Design, Legal, Procurement, and Contractors for document submissions and approvals
- Follow up with consultants and vendors for pending documents/drawings
- Support smooth communication and documentation flow across teams
4. Compliance & Audit Support
- Ensure all required statutory and project-related documentation is maintained and updated
- Assist in internal/external audits by providing necessary documentation
- Maintain records of approvals, permits, and compliance documents
5. Reporting & MIS
- Prepare periodic reports on document status, pending approvals, and submission trackers
- Maintain MIS dashboards for documentation tracking
- Highlight delays or gaps in document submission to project leads
Internal & External Interactions
Internal: Project Management Group, Design Team, Procurement, Legal, Finance
External: Consultants, Contractors, Vendors, Government Authorities (for document coordination, if required)
Candidate Requirements
- Graduate in any discipline (Engineering / Construction background preferred)
- 3–7 years of experience in document control (real estate/construction preferred)
- Proficiency in MS Excel, Word, and document management systems
- Understanding of drawings, contracts, approvals, and construction documentation
