Partnership Description: CUNY SPS ILS partners with the New York City Administration for Children’s Services (ACS) to provide foundational and continuous professional development learning for child welfare and juvenile justice direct service staff and supervisors through ACS’s Office of Training and Workforce Development (OTWD). OTWD encompasses three entities: ACS James Satterwhite Academy, the ACS Workforce Institute, and the ACS Institute for Leadership Development.

Position Description:

The Budget and Scope Management team is looking for a Program Coordinator to provide administrative support. Reporting to the Sr. Program Manager, this position will collaborate with admin staff from the other workstreams and ACS and serve as a primary contact for all admin-related tasks.

Position Duties and Responsibilities:

  • Collect and process office supply and printing requests from workstreams and staff.

  • Monitor inventory levels and order supplies as needed.

  • Communicate with vendors regarding orders, pricing, and deliveries, etc.

  • Maintain administrative records related to purchasing and printing orders.

  • Assist with cost control by monitoring supply and printing expenses.

  • Coordinate logistics for memberships, trainings, workshops, and/or events.

  • Assist the Contract Manager in obtaining and collecting consultant documents.

  • Track receipt of consultant documents and verify all required documents are included.

  • Maintain accurate tracking logs and records of consultant document status.

  • Coordinate onboarding activities for newly hired employees; assist with account creation, ID, email access, and office equipment, etc.

  • Collect working equipment from exiting staff.

  • Assist in office event planning.

  • Ensure confidentiality and security of sensitive information.

  • Provide support with special projects as needed.

  • Other duties as assigned.

Qualifications:

  • Associate’s degree required. Bachelor’s degree preferred.

  • Minimum 2 years of administrative experience in a professional office environment.

  • Excellent communication and interpersonal skills. Attention to detail.

  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams, etc.)

  • Must be able to lift up to 35 lbs without assistance
