Program Coordinator

Supports the work of the Master of Population Health Sciences graduate and certificate programs and the Postdoctoral Trainees Programs hosted in the Department of Surgery, Division of Public Health Sciences.

Primary Duties & Responsibilities:

  • Provides day-to-day operational coordination for the MPHS program including: admissions, matriculation, registration, advising, grading, classroom coordination, evaluation, commencement and alumni engagement.
  • Serves as liaison for students and postdoctoral trainees to faculty and other university committees and programs.
  • Serves as program liaison for Workday Student.
  • Updates and maintains program communications and program materials (ie handbooks, course templates).
  • Serves as the primary contact for MPHS students and postdoctoral trainees, program leadership, faculty, staff, other university departments and/or external contacts related to the graduate and postdoctoral training programs.
  • Coordinates and provides logistical support for classes, seminars, training opportunities, meetings, conferences, workshops and special events.
  • Works closely with program leadership to help execute the strategic projects and priorities of the graduate and postdoctoral trainee programs.
  • Performs clerical and administrative support to the postdoctoral trainee program director including: document creation, program correspondence, purchasing supplies, running reports, and calendar support.
  • Coordinates postdoctoral trainee travel arrangements, conference/course registration related to professional development using a university procurement card. Prepares expense reports for reimbursement according to guidelines.
  • Coordinates and provides logistical support for postdoc applicant interviews, including scheduling and travel arrangement.
  • Meets regularly with postdoctoral trainees to review program requirements and use of professional development funds.
  • Collects and maintains the documentation and reporting requirements for the T32 training program.
  • Monitors, routes and responds to email correspondence in the general inquiry mailboxes for postdoctoral trainees and the MPHS program.
  • Coordinates regular meetings with program leadership: scheduling, preparing the agenda and minutes.
  • Collaborates with marketing and communications to update and maintain postdoctoral job postings, MPHS website and university communications.
  • Compiles postdoctoral trainee applications; provides applicant information to faculty; sends correspondence to applicants; answers general questions on program/course.
  • Performs other duties as assigned.

Salary Range:

$23.37 - $36.19 / HourlyThe salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
