Summary: The Program Operations Coordinator supports the daily operations of the Center for Healthcare Education (CHE) by providing leadership in program coordination, staff support, training logistics, and administrative functions. This role works closely with the Director to ensure the successful delivery of the non-credit healthcare education programs, while maintaining high standards of customer service, operational efficiency, and fiscal accountability.
Key Responsibilities
Serve as the primary lead for Lifelearn system management, including course scheduling, registration oversight, reporting, and troubleshooting
Manage department payroll processes, including instructor payroll review, tracking, and coordination with HR to ensure accuracy and timeliness
Support department operations including planning, logistics, and program implementation
Provide leadership and direction to support staff and serve as a primary contact in the Director’s absence
Oversee training logistics (scheduling, contracts, staffing, and student support) for healthcare education programs
Manage program operations associated with grants, contracts, and workforce training initiatives
Develop and monitor program budgets, cost accounting, invoicing, and financial reporting
Maintain departmental databases and generate reports on program performance, enrollment, and outcomes
Support marketing efforts including publications and outreach materials
Provide system support and troubleshoot issues related to registration, payroll, and program delivery
Ensure a high level of customer service when interacting with students, staff, instructors, and community partners
Qualifications
Education:
Bachelor’s degree in Business, Computer Science, Healthcare Administration, or a related field strongly recommended
Experience:
Minimum of 5 years of experience in program coordination, operations, or database management
Experience with process improvement and organizational systems
Skills & Competencies
Advanced computer proficiency required, including strong working knowledge of databases (e.g., Lifelearn), reporting systems, spreadsheets, and enterprise software platforms
Ability to quickly learn and effectively manage complex information systems, including course scheduling, registration, and payroll systems
Strong technical troubleshooting skills to independently resolve system, data, and process issues
Excellent organizational, communication, and interpersonal skills
Knowledge of adult learning principles and workforce training environments
Ability to manage multiple priorities with strong attention to detail and accuracy
Demonstrated problem-solving skills with a focus on process improvement and operational efficiency
Work Environment & Collaboration
Reports to the Director of the Center for Healthcare Education
Works collaboratively with instructors, staff, and administrative departments
Engages with students, instructors, and community partners
